How the automatic schedule generator works
An automatic schedule generator builds your work schedule for you. You list your employees, when they can’t work and the shifts you need covered. The auto schedule maker then assigns people to shifts in seconds, following your rules for hours, rest and days off, and spreading the work fairly across your team.
It takes three steps:
- Add your team. Enter each person’s name and the most hours they can work in a week. You can also add a minimum number of hours, roles such as “cook” or “cashier”, the days they can’t work, and time blocks like “Wednesday until 3 PM”.
- Add your shifts. Define a shift once, such as “Dinner, 4 PM to 10 PM, 2 cooks”, then tick the days it repeats on. Overnight shifts like 11 PM to 7 AM work too, and unpaid breaks are taken out of paid hours.
- Set your rules and generate. Choose how much rest people need between shifts and how many days in a row they can work, then press Generate schedule. The staff roster shows who works when, and the summary shows hours per person and any shift that couldn’t be filled.
Not happy with the result? Press Regenerate for a different schedule that follows the same rules, or tap any shift to change it by hand. Undo takes you back a step. Everything runs in your browser and saves automatically on your device.
Rules the auto schedule maker handles
Some rules are never broken. The schedule generator only gives a shift to someone who can legally and practically work it:
- Availability. Whole days off and blocked time ranges are always respected, including shifts that run past midnight.
- Max hours per week. No one is scheduled over their limit. Unpaid breaks don’t count toward it.
- One shift per day. On by default, so no one gets a double shift.
- Minimum rest between shifts. 10 hours by default. The check works across midnight, so a 10 PM to 6 AM shift followed by a 2 PM shift the next day is blocked.
- Max days in a row. 6 by default, so no one works all seven days of the week.
- Roles. A shift that needs a cook only goes to someone with the cook role.
Other goals are about fairness, and the generator gets as close as it can:
- Balanced hours. Each person gets a fair share of the hours in proportion to their max hours, so a 20-hour part-timer gets about half as much as a 40-hour full-timer.
- Fair weekends. Saturday and Sunday shifts are spread across the team instead of landing on the same people.
- Minimum hours and preferred days off. The generator tries to give people their minimum hours and avoid their preferred days off, and tells you when it can’t.
If a shift can’t be filled without breaking a rule, it stays open and the summary explains why in plain English, for example “Maria and Jay would go over their 40-hour limit”, with a suggestion such as “Add one more person with Saturday availability.”
Who the employee schedule generator is for
The auto schedule maker is built for small teams that schedule by the week and don’t want to pay for scheduling software:
- Restaurants and cafés. Cover lunch and dinner with the right mix of cooks and servers, and give weekend shifts out fairly.
- Retail stores. Staff opening, mid and closing shifts, and make sure a keyholder is on every open.

Example: a 6-person weekly schedule
Here is a schedule the generator built for a small restaurant with six staff. Dinner runs every night with two cooks and one server, and lunch runs Wednesday through Sunday with one cook and one server. Maria and Jay are cooks, Sam and Alex are servers, and Priya and Dana can do either job.
The generator worked around everyone’s time off: Maria is off Mondays, Sam is off Sundays, Alex is off Thursdays and Fridays, and Priya can’t work Wednesday before 3 PM. Every shift is covered, no one goes over their max hours, and weekend shifts are shared.

- Image (PNG): a sharp picture of the schedule to post in a group chat or text to your team.
- PDF: one landscape page on US Letter paper, with the schedule name and week at the top. Ready to print or email.
- Print: opens your browser’s print window with just the schedule, in color, without menus or buttons.
- Excel (.xlsx): people down the side, days across the top, color-coded shift times and a total hours column. It also opens in Google Sheets and Numbers.
- CSV: one row per shift with the date, person, start and end times and hours, for payroll or other software.
- Calendar (.ics): everyone’s shifts, or just one person’s, for Google Calendar, Apple Calendar or Outlook. Overnight shifts end on the right morning.
To put real dates on the schedule, tap Add week dates and pick the week. The day headers change to dates like “Mon 10/5”, and every download uses them. In Settings, you can also pick a header color and a compact or comfortable layout for the schedule and its downloads.
Share copies a link to your schedule. Anyone who opens it sees a read-only version and can make their own copy to edit. The schedule is stored inside the link itself, so nothing is uploaded. To keep a copy on your computer, use Download > Save file, and Open file to load it again later.

Is there a free AI schedule maker?
Auto Schedule Maker is free, but it isn't AI, and we'd rather be honest about that. It uses clear scheduling rules: it checks availability, hours, rest and roles for every shift, then balances hours and weekends across your team.
For a weekly work schedule, that's usually what people want from an "AI schedule generator": a fair schedule built in seconds. The difference is that rules are predictable, and when a shift can't be filled the tool tells you exactly why.
How does an automatic schedule generator work?
You enter your employees, when they can't work and the shifts you need covered. The generator fills the hardest shifts first, the ones with the fewest people who can work them, and gives each shift to the eligible person who keeps the schedule fairest. It then swaps shifts between people to even out hours and weekends.
It never breaks your hard rules, such as max hours, availability or minimum rest. Anything it can't fill is listed with the reason.
Can it schedule employees based on their availability?
Yes. For each person you can mark whole days they can't work and time ranges they can't work, such as Tuesday before 3 PM. The generator never schedules anyone during those times, including overnight shifts that run into a blocked morning. You can also mark preferred days off, which it avoids when it can.
Can I export the schedule to Excel or PDF?
Yes. Tap Download above the schedule for an Excel file (.xlsx) with color-coded shifts and total hours, or a one-page PDF on US Letter paper. You can also print it, save it as an image, download a CSV file, or get a calendar file (.ics) for Google Calendar, Apple Calendar or Outlook.
Do I need to sign up?
No. There's no account, email or payment. The tool runs entirely in your browser, and your schedule is saved only on your device. Nothing you enter is sent to our servers.
